What is Genius MFP Solution?

Genius MFP is a solution package that adds or replaces the functionality provided by the MFP manufacturers on the end device.

Genius MFP is centrally configurable via a web interface.

The Genius MFP client enables the same user experience on all supported devices. In addition to the traditional scanning, printing and copying functions, the Genius MFP client allows users to interact with a business process.

Genius MFP allows you to easily improve the efficiency of your IT infrastructure and business processes, increase IT security and user productivity. Reduce your printing and copying costs while protecting the environment.

Authentication

Login to the device can be done manually by entering the username and password. These credentials are checked against the internal or external user management.

In addition to the username/password authentication described above, also company ID cards can also be used for authentication.

Sometimes card data is not available in the customer’s directory service. In this case, mapping to user data can also be stored within Genius Server.

The simplest method of authentication/identification is using a PIN Code. The PIN authentication provider works as the card/badge authentication provider. Every user should have a unique PIN Code. PIN Codes are directly managed on the Genius Server.

A combination of card and PIN (ownership + knowledge) could be used to force high security in your company. The usage of this 2 factor authentication could be mapped to a person, group or all users.

The card and PIN could be fetched from directory service or from Genius Server user management.
If the Genius Server manages the information, then the first login will use the card register mode as described above. In addition the user would be asked for the PIN at the MFP.
The PIN could be changed by the user as a self-service with the Genius Web Client in the user profile.

If required, functions such as copying and faxing can also be enabled for guests on selected or all devices.

A logged-in user is automatically logged out when inactivity occurs. The time span when this should happen is usually defined by a manufacturer setting on the mobile device.

Printing

When printing directly from the server’s Direct Print Spooler, the Genius MFP will lock the device depending on the configuration. This is necessary to accurately capture user-based billing.

For the Pull Printing feature, the user initiates a print job, it is stored by the print server for a defined period, and can be retrieved within this period after successful user authentication on any device connected to the system. This enables secure and confidential printing. It is also possible to establish a system extending over multiple locations.

When the user is authenticated on the MFP, the list of print jobs being held is displayed so that the user can select and print them. Selected or all jobs can be ‘printed’ or ‘printed and deleted’ or immediately ‘deleted’.

Once they have been sent, but before being printed, users can modify print jobs on several device types. Modifications available are: simplex – duplex, color – black and white, numbers of copies. To have those specific properties available, enable the job analysis.

Environmental note as popup

For those who want to reduce color printing for environmental or cost reasons, a pop-up window can be activated on the MFP to ask whether the user really wants to print in color or in black and white.

Print jobs in the Pull Printing History are the ones that are marked as “DELETED” in the Genius Sever System, but the binary data has not been yet deleted, so the user could print them again. By default, the buttons available in the pull printing history are the following:

  • Print: print jobs are printed and left in the pull printing history page;
  • Print and recover: print jobs are printed and moved in the pull printing page.

This feature allows for all waiting print jobs to be printed, immediately after the user authentication. This process doesn’t require any additional actions by the user.

On the client, however, a popup window can be configured to prompt the user to enter a cost center after login. The user can select this from a displayed list.

If the quota of a user has been exceeded, an information window is displayed on the multifunctional device.

Scanning

The Scan2Mail function allows sending e-mails to any number of recipients.
By selecting the function, the user gets a window with scan details. The user can either manually enter the recipient’s address or select it from an internal and/or external address book if present.

Furthermore, the subject, the body, the file name and the scan settings can be defined by the user. It is also possible to attach more than one document for each email.

To use all the E-mail functionalities, every customer should set its own E-mail server. By using STARTTLS, these functionalities support the security features for the E-mail encryption from the Genius Server to the E-mail server.

The Scan2Me function allows an authenticated user to send scanned documents directly to his or her own e-mail address.
The user can initiate a Scan2Me-process using the default settings, or he can change the scan settings (DPI, color or black/white, etc.), mail subject, and file name of the document.

As an option, Scan2URL can be specified in the Scan2Me functions to handle large files.
Typically, mail systems define a maximum file size for attachments. If the scanned document exceeds this maximum, the attachment is temporarily stored in the server. Instead of an attached scan, the user receives an e-mail with a link to download the file. The storage period of the document on the server can be configured, including an automatic clean-up process that deletes expired files.

The use of Scan2Fax function allows sending a document to a fax server (not part of our solution).
After selecting the function, the user can either manually enter both Fax number and recipient or select them from the centrally maintained address book. More than one recipient can be selected for a fax to be sent to multiple recipients.

The scanned document is then sent as an e-mail attachment to the fax server, which sends the document via fax to the recipient(s).
If the fax server supports transmission logging, an email with the result of the transmission will be sent to the sender. This is, however, the task of the external fax server system.

When the user selects the Scan2Folder function, he can choose the preferred scan settings, define the name of the document and send the scanned documents to a server folder such as a shared or public folder. In general, it is necessary to configure a proxy user account that has appropriate write permissions to access these folders.

If the user selects the Scan2Home function, scanned documents are stored directly in his personal home folder (in the server’s home directory). This target directory is provided by Genius Server during the authentication process.

Scan2OneDrive with the Cloud is the replacement for the well-known Scan2Homefolder which was previously managed on-premises.

The Genius MFP application is registered in the Azure Portal. In addition, the Microsoft provider in the Genius Server will be configured accordingly.

Through this combination the employee has the possibility to store scanned documents in the OneDrive in combination with his Microsoft Azure account.

In addition, the employee can navigate through the folder structure and create new folders in which he can then store documents. The employee only sees his personal folder structure to which he has the appropriate rights.

MS-Sharepoint Server (supported versions: 2013 and 2016) is an external provider that can be accessed from the Genius Server. Once authenticated, the user can browse among folders and select a target folder where storage scanned documents.

Native MFP Functions

Native MFP functions like Copy or native (embedded) Fax Module may look and be used differently if the SDK does not allow changes to the GUI for one of these functions. Therefore, the user interface and its settings may depend on the MFP device. Some vendors grant full access to those functions. In this way, we can use the GUI and pre-settings solutions.
